Shipping Policy

Overview

Pacific Gyre, Inc. manufactures scientific instruments and telemetry systems that are typically built to order and configured to each customer’s specifications. This Shipping Policy explains how orders are processed, shipped, and transferred to customers.

By placing an order with Pacific Gyre, you agree to the shipping terms described below and in our Terms of Sale.

Order Processing

Most Pacific Gyre products are built to order. Production lead times will be provided in quotations or order confirmations.

Orders are scheduled for production after:

  • receipt of a valid purchase order, and

  • completion of any required prepayment or deposit.

Once production is complete, orders are prepared for shipment according to the shipping method specified on the quotation, order confirmation, or customer instructions.

Shipping Methods

Pacific Gyre ships worldwide using reputable commercial carriers including, but not limited to:

  • DHL Express

  • FedEx

  • UPS

  • freight forwarders or cargo carriers

  • customer-arranged carriers

Shipping methods may include:

  • express courier

  • air freight

  • ocean freight

  • customer-arranged pickup

The shipping method used will depend on customer preference, destination, shipment size, and quotation terms.

Shipping Terms (Incoterms)

Unless otherwise specified in the quotation or order confirmation, shipments are made EXW (Ex Works) Pacific Gyre facility.

This means:

  • the customer assumes responsibility for shipping, insurance, import duties, taxes, and customs clearance after the goods leave our facility.

For certain orders, Pacific Gyre may agree to ship using other Incoterms® rules, such as:

  • FCA – Free Carrier

  • CPT – Carriage Paid To

  • CIP – Carriage and Insurance Paid To

  • DAP – Delivered At Place

The applicable Incoterm will be specified in the quotation or invoice and will govern the transfer of risk and responsibilities.

Transfer of Title and Risk

Unless otherwise agreed in writing:

  • Title to goods transfers to the customer upon full payment.

  • Risk of loss transfers to the customer when the shipment is delivered to the carrier.

Customers are responsible for any loss, damage, or delay occurring during transit once the shipment has been transferred to the carrier.

Customers are encouraged to request shipping insurance when appropriate.

Shipping Charges

Shipping costs are not included in product pricing unless explicitly stated in the quotation or order confirmation.

Customers are responsible for:

  • shipping charges

  • insurance (if requested)

  • customs duties and taxes

  • import clearance fees

  • brokerage charges

  • any destination handling fees

Shipping charges may be:

  • prepaid and invoiced by Pacific Gyre, or

  • billed directly by the carrier using the customer’s shipping account.

Export Documentation

Pacific Gyre will provide standard export documentation as required for international shipments, which may include:

  • commercial invoice

  • packing list

  • certificate of origin (when applicable)

Customers are responsible for complying with import regulations in their destination country.

Customer-Arranged Shipping

Customers may arrange shipment using their own carrier or freight forwarder.

When a customer provides an airway bill, shipping label, freight account number, or schedules carrier pickup, Pacific Gyre will prepare the shipment and release it to the designated carrier.

Once the carrier takes possession of the shipment, all risk of loss or damage transfers to the customer, and the shipment proceeds under the customer’s responsibility in accordance with the applicable shipping terms.

For customer-arranged shipments exported from the United States, Pacific Gyre charges a $250 export handling fee. This fee covers the administrative and compliance work required to prepare shipments for export, which may include:

  • preparation of export documentation

  • compliance review under applicable U.S. export regulations

  • preparation of commercial invoices and packing lists

  • coordination with the customer’s freight forwarder or carrier

  • filing of export information in the U.S. Automated Export System (AES) when required under the Foreign Trade Regulations (15 CFR Part 30)

  • internal classification and recordkeeping required for export compliance

This fee will be added to the invoice unless otherwise agreed in writing.

Customers are responsible for ensuring that their designated carrier or freight forwarder is authorized to handle the export and for complying with all import requirements of the destination country.

Shipping Delays

Estimated shipment dates are provided for planning purposes but are not guaranteed.

Pacific Gyre is not responsible for shipping delays caused by:

  • carrier issues

  • customs clearance delays

  • weather events

  • labor disruptions

  • government actions

  • other circumstances beyond our control.

Shipment Inspection

Customers should inspect shipments upon receipt.

If shipping damage is suspected:

  1. Notify the carrier immediately.

  2. Retain all packaging materials.

  3. Contact Pacific Gyre as soon as possible.

Damage claims must typically be filed with the carrier.
